EPHEC University College is pleased to welcome guest students from its partner institutions in the framework of the Erasmus mobility programme of the European Commission, the Belgian Erasmus Belgica exchange scheme, as well as through various other particular bilateral agreements.

INCOMING ERASMUS STUDENTS – EPHEC INFOPACK 2009-2010
Dear future Erasmus guest student,
If you feel like planning an ERASMUS study period with us next academic year (Fall and/or Spring semester) and discover Belgium, we invite you first to read this information and the enclosed files.
You will find a detailed description of our institution in the International Student Guide and the International Presentation.
Your decision to come to Belgium and our University College will depend on your expectations in terms of study areas, number of ECTS credits and language proficiency (English and/or French).
This will determine if you can or want to come here for the next Fall or Spring Semester.
The majority of our modules taught in English are available in the Fall Semester only. This is also the case for all Year 3 modules of our Professional Bachelor Degrees. Indeed nearly all our regular students go for a company placement in the Spring Semester of their 3rd Year, and do not follow any classes then. The number of course modules taught in English during the Spring Semester is limited to approximately 15 ECTS. For details, please refer to the attached “Course offer in English” file.
Therefore, if you need 30 ECTS credits in the Spring Semester and if you cannot follow any course modules taught in French because you do not know any French or your knowledge of French is too limited, you should reconsider your plans with your home institution’s international coordinator.
We can offer you an alternative additional credits package in the Spring Semester by working on a practical final project under the supervised guidance of one of our specialized lecturers. Indeed, our own regular EPHEC students also work on a final practical project (a sort of dissertation) which is worth 15 ECTS.
In the Spring Semester, you are welcome to join any of the course modules taught in French from the years 1 and 2 BA Degree programmes available at our Brussels (Woluwé) or Louvain-La-Neuve campus. See details about campus location in our International Student Guide.
The Business degree courses are organized on both campuses as follows :
Accounting : Brussels or Louvain-La-Neuve
Marketing : Brussels or Louvain-La-a Neuve
International Trade : Brussels
Law : Brussels
The Information Technology degree course is taught (in French) at our Louvain-la-Neuve campus.
Fall and / or Spring Semester at EPHEC ?
You have the choice between 3 main options:
- If you choose for the FALL SEMESTER:
You can select from our regular modules taught in English (schedules permitting).
You can also select some regular modules taught in French from Year 1, 2 or 3 of any of our Bachelor Degree programmes.
You can decide to follow only modules taught in French OR only modules taught in English, or a mix of both (schedules permitting).
You can complete your course menu with specific modules taught for Erasmus students only.
So it is possible to follow a course menu comprising modules taught both in English and in French.Combining modules belonging to different Degree programmes or Years of study is subject to timetabling as well as organizational and pedagogical restrictions.
Therefore ECTS tables of modules (sent upon request) might not completely reflect real possibilities when students wish to combine modules from different Degree Programmes and/or years of studies. Some modules may be concentrated at the very start of the semester (during just a few days), so you may miss them if you arrive late.
With the exception of specific “Erasmus modules”, all other modules are also followed by regular EPHEC students. This means that you will be mixed with regular Belgian students for the majority of modules you will take.
The special Erasmus course modules aimed at and only taught for guest students are only offered at our Brussels campus.
- If you choose for the SPRING SEMESTER:
You can select from our regular modules taught in French from Year 1 and Year 2 of our Degree programmes
You can choose a limited number of modules taught in English
You can work on a practical dissertation project
It is recommended to follow at least most of the regular modules within the same Degree Course and Year, for both practical and pedagogical reasons. For example : International Trade Year 2 or Marketing Year 2.
If you choose to study here for the COMPLETE ACADEMIC YEAR :
You follow the pathways described above (with only Year 1 and 2 modules available in the Spring Semester). It is thus possible again to follow a course menu comprising modules taught both in English and in French.
You can decide for the Spring Semester to work on a practical dissertation or to go for a company placement under our supervision. For details of how this is arranged see the separate description.
Whatever your initial choice, we must draw your attention to the fact that your finalized programme will only be confirmed after your arrival at EPHEC taking into account the latest revisions of degree course design, schedules and other practical constraints.
Academic Calendar 2009-2010
The Fall Semester starts on 15th September and ends after the semestrial exams on 15th January.
Semestrial exams will run between 4th January and 15th January.
The Spring Semester starts on January 22nd or Monday 26th January according to the chosen program. It ends around 16th June. Semestrial exams will run between 27th May and 16th June.
Assessment / Exams
The modes of assessment vary for each regular course module. They include continuous assessment (individual tests, group project work…), oral and written exams.
An exam can be either in written and/or oral form and is taking place on a fixed date. Contrary to practice in some other countries, an exam date cannot be arranged by appointment with a teacher !
You will not be allowed to leave Belgium before the date of your last written or oral exam except in a case of absolute necessity and after informing the International Office.
Regular exam dates are indicated above.
Resits are organized : - late May / early June for the Fall semester modules
late August / early September for the Spring Semester modules.
So if you need to take a second chance for a subject you failed, you will have to contact our International Office at the latest in April (for Fall semester modules) or by 15 August 2009 (Spring semester modules).
Registration
We should first receive a message of OFFICIAL NOMINATION from your home institution stating that you have been selected.
Then you are invited to :
send us an application letter (to have an idea of your motivation and expectations)
send us a CV with picture
complete the enclosed “Guest student info sheet”
send us a project of “Learning Agreement” to have an idea of your intended & provisional study programme.
Deadline: JUNE 1st for FALL SEMESTER
DECEMBER 1st for SPRING SEMESTER
Please send the documents to our International Office both by email and by regular post.
There is no electronic registration before arrival.
Class Schedules
For various organizational reasons, schedules of classes vary every study semester. Small changes are likely to occur during the first weeks of the academic year or semester.
We will compile your final course menu and Learning Agreement when regular class schedules are confirmed available at the end of the first month.
Teaching periods at EPHEC last 75 minutes and are spread over the morning (between 8.30 and 12.50) and the afternoon (between 13.50 and 18.00) between Monday and Friday.
Arrival at EPHEC
It is recommended to arrive in Belgium a few days before the actual start of the academic semester :
around 10th September for the FALL SEMESTER
around 22nd or 23rd January for the SPRING SEMESTER
to sort out your accommodation and get used to your new living environment.
We will send you a message early January to fix an appointment with our International Secretary (international@ephec.be) and to announce the exact time of our Welcome Meeting.
Accommodation and tutoring
For accommodation students have to find a room on the private market. EPHEC University College does not have its own student dormitories. Students are invited to look for a room by themselves. If necessary we can (or the Students’ Union) provide some assistance upon arrival. You are also invited to contact former or current guest students for advice and maybe even take over the room they are renting for the moment (the list can be sent upon request).
A room on the private market will cost between 300 and 350 Euro. Staying at a youth hostel might be necessary for a few days : see the addresses in our ”International Student Guide”. In that case make sure you book that room well in advance before arrival !
When we have selected our own outgoing students for next year, we will ask them to be your buddy for your own study period.

Important notice : our College is closed in the following academic holiday
periods :
Christmas break : 21 December-3 January
Easter break : 4-19 April
Summer holiday : from 1 July 1 to 17 August
So do not expect to receive any answer to your calls or correspondence during those periods !
